Best Software for Small Hotels in 2026: Honest Comparison
Small hotel software is not one product but three layers: a PMS for bookings, rooms and finances, a booking engine to sell direct, and a digital guest guide with an AI Concierge to serve guests already on site. This guide compares the three categories with public Brazilian prices in reais, shows which one to buy first based on your real bottleneck, and gives a six-point checklist for choosing without regret.

Is "hotel software" a single thing?
No — and this is where most searches go wrong. What the market calls a "system" is really three different layers: the PMS (managing bookings, rooms and finances), the booking engine (selling direct on your own site) and the digital guest guide with a concierge (serving the guest who has already arrived). They complement each other: you can run all three, run two, or start with one.
What are the categories — and what does each one cost?
Public prices, in reais, charged in Brazil (July 2026):
| Category | What it solves | Examples with public pricing |
|---|---|---|
| PMS | bookings, room map, finances | Hospedin from R$ 59.90/month (Brazilian reais) |
| Static digital guide | manual behind a QR code, no AI | ILURO R$ 69.90/month · InnCard R$ 129.80/month |
| Guide + AI Concierge | answers the guest 24/7, chat, services | ViaHotel from R$ 29/month |
Transparency: this blog belongs to ViaHotel. The prices for the others are the ones published on each company's official website — always check the current pricing page.
Do I need a PMS and a guide at the same time?
It depends on your bottleneck. If your problem is overbooking and reservation control, start with the PMS. If the problem is a WhatsApp inbox full of "what is the Wi-Fi password?", a queue at the front desk and ratings dropping because of communication, the guide with AI solves more first — 60% to 75% of front desk interactions are repetitive questions, according to vendor research such as Runnr.ai. The layers do not compete: the guide serves the guest the PMS registered.
What does AI actually change?
A static guide is a good-looking PDF behind a QR code: the guest still has to go looking. With an AI Concierge, the guest asks ("is there parking?", "what time is breakfast?") and gets the answer on the spot, in Portuguese, English or Spanish — using only what you entered. When the AI does not know, it hands the guest to a real person. That is the difference between "having the information somewhere" and actually answering.
A checklist for choosing without regret
- Public pricing in reais — be suspicious of "plans on request".
- A trial with no credit card — you should be able to sign up on your own, today.
- No app for the guest to download — a QR code that opens in the browser.
- AI that answers only what you entered (and calls you when it does not know).
- LGPD and FNRH out of the box — LGPD is Brazil's data protection law, equivalent to the GDPR, and the FNRH is Brazil's National Guest Registry form. In Brazil both are legal requirements, not a "future feature".
- Cancel in 2 clicks — no penalty, no phone call.
The layer that serves your guest costs less than a pizza: R$ 29/month (≈US$6), public pricing, 14 days free with no credit card. Create your guide now or see the demo.
